1. Call to Order
Greg Utz called the meeting to order at 6:03 PM.
2. Attendees
Board Members Present: Greg Utz, John Thompson, Jake Sumners, Trevor Butler, Michael Krueger, Pete Cashen, Laura Hayes, Scott Reek, and Crispian Paul.
Guest: Jack Lowe.
3. Meeting Minutes Publication
September meeting minutes have been posted to the website in the new dedicated Meeting Minutes section.
4. 2027 Events and 40th Ice Bowl
Jack Lowe plans to lead one 2027 NADGT event, potentially reviving the Mighty Mo format with Water Works and Cliff Drive; the July date will be coordinated with the broader tournament schedule.
Jack proposed returning the unsanctioned Lion's Den on August 21, 2027, marking its 25th year after a 10-year hiatus.
The 40th Kansas City Ice Bowl is planned for 2027, with the final at Rosedale on February 7. The event is expected to surpass $200,000 raised for Bishop Sullivan Center over the program's history.
The Ice Bowl will retain its satellite-event model, with Shawnee Mission, Bad Rock Creek, and possible Budd Park events feeding into the Rosedale finale. The board discussed a large raffle, merchandise, retro-themed promotion, and two Rosedale layouts for the final.
Jack and Scott stated that 2027 will be their final year leading the Ice Bowl. The club will recruit volunteers at the Club Championships and General Assembly, through social media, and in the newsletter; Crispian offered to help with food.
Scott will begin Ice Bowl promotion and a volunteer call in November. The board discussed documenting and dividing responsibilities so the event can transition to a committee or future leadership team.
5. Treasurer Update
Trevor reported just over $30,000 in checking and approximately $8,400 in PayPal, where the ace funds are held.
League deposits received have been allocated. Trevor will trace the remaining two or three league deposits and reconcile outstanding transaction questions before the General Assembly.
Greg has contacted leagues with outstanding deposits and will help resolve any reported discrepancies.
6. Membership Update
KCDG membership stands at 353 total individual and family memberships, up one from the prior month.
Memberships purchased after the league season, including for Club Championship participation, will carry through 2027.
7. Missouri Course Updates
Bad Rock Creek received 30 trees from the City of Liberty and Liberty Parks and Recreation, including trees intended to provide tee-pad shade and frame holes. Winter work will include Hole 11 improvements and a new gold tee pad on Hole 13.
Sugar Creek woods were reported as overgrown. Wilbur Young's storm-damaged practice basket is being replaced, and Water Works received additional Hole 1 pin positions and sleeves.
Jack continues course-improvement work at Kessler Park, including coordination with Parks on mowing wooded areas. Hidden Valley's final nine and front-nine updates remain in progress.
At Mark McHenry Park, Jack and Avery Jenkins will mark fairways so Parks can begin winter clearing before design work continues.
8. Kansas Course Updates
A Kansas course received replacement baskets, and the board recognized the local group that supports the small park.
Permanent tee-sign work at Wooded Prairie remains delayed by internal Parks Department coordination.
Hickory Hills, the planned championship-style third course at Shawnee Mission, remains in the park master plan but is paused pending the master-plan and budgeting process. Scott estimated that construction is likely at least two to three years away before design and build time.
9. League Update
The regular league season is complete. Griffin Johns may continue the Big Bull Creek League on weekends while reporting through the club spreadsheet.
Legacy, Rosedale, and WyCo still have a few deposits outstanding; Greg has contacted the directors.
Garrett will not return as Bad Rock Creek league director in 2027 because he is moving out of the area. The club will seek a replacement.
10. Membership Tags
The board discussed shifting from sequential bag tags to membership tags that members can show for league benefits and club-member verification.
The board will explore a Velcro patch or hanging patch format, including possible course-specific designs. Tags do not need to be ready for the Club Championship final round.
11. Club Storage
KCDG will renew its storage unit for one year while KC Wide Open leaders decide whether to relocate tournament materials closer to Bad Rock Creek.
KC Wide Open has agreed to cover half of the first year's cost. The one-year renewal preserves the current unit while future storage needs are determined.
The board discussed selling surplus tone poles or baskets as fundraisers after confirming their locations and quantities.
12. Pioneer Trails Course Committee
The board approved the creation of a Pioneer Trails Course Committee to work with Independence School District and develop a proposed MOU for an affiliated club course. Any final agreement or financial commitment remains subject to board approval.
Greg Utz, Trevor Butler, Pete Cashen, Crispian Paul, and Michael Krueger volunteered to participate in the committee.
Pete will circulate a new MOU draft for review. The proposed agreement will make clear that the school district's insurance remains responsible for the property and that KCDG's role is to grow participation and support the sport.
13. Club Championships and General Assembly
Club Championship preregistration is open through UDisc, with an accompanying KCDG Facebook event and RSVP option.
The Club Dinner and General Assembly arrangements are confirmed. Pete will bring the check for Lee Killian, and John Thompson and Pete will provide drinks.
Course coordinators and league directors will receive hoodies. Greg and Pete will send sizing information to Scott, who will coordinate the order and use the club's vector logo.
The Club Dinner Facebook event is live and receiving RSVPs.
14. Volunteer of the Year Award
The board approved renaming the Volunteer of the Year Award. Name forthcoming at General Assembly
Pete will collect award nominations by email, circulate the candidates for a board vote, and coordinate engraving in time for the General Assembly.
Greg will create a website page recognizing prior award recipients and nominees. The board discussed recognizing finalists alongside the annual recipient.
15. Board Elections
Terms ending this year are John Thompson, Greg Utz, Jake Sumners, and Trevor Butler. John and Jake will not seek another term; Greg and Trevor plan to seek election.
Greg will reactivate the self-nomination form and issue the call for candidates by email, Facebook, and the website.
Candidates may speak at the November 7 General Assembly. Nominations close November 13; elections run through Election Buddy from November 16 through November 30; winners will be notified and results shared December 2.
The next Zoom board meeting is December 14. Newly elected board members will be invited to attend as preparation for January.
16. Website, Business Cards, and Vouchers
The website now provides a permission-based Meeting Minutes repository. Greg will backfill past minutes, and the next secretary will receive access to maintain the section.
Club business cards remain in draft form. Big Bull Creek vouchers are nearly complete and will use the Johnson County Parks and Recreation logo.
17. Down Under Tee Pads and Membership Drive
Swope donors who designated funds for Down Under tee pads contributed $3,980. The Keela fundraiser has raised $3,442, with approximately $2,000 more committed, bringing the project to just over $10,000 in support.
Donor funds not yet claimed or redirected will remain set aside while contact efforts continue. The board noted that these restricted or designated funds are included in the reported checking balance and will be disbursed for their intended purposes.
Laura renewed KCDG's 2027 club-affiliate program enrollment. The board will promote 2027 membership at the Club Dinner and through a further newsletter.
18. Course Marquees, MOUs, and Insurance
Presentations to cities for the course-marquee project remain in progress.
The Pioneer Trails MOU may serve as a useful model for future agreements, but municipal MOUs are issued by the respective agencies and vary by course.
The board discussed the club's insurance exposure, which is based on league participation, tournaments, and volunteer work rather than MOUs alone. Pete reported 5,276 league-player counts, 69 tournaments, and nearly 10,000 annual exposure counts across activities.
PDGA-sanctioned events are covered through PDGA insurance, and the board discussed continued revenue planning to support maintenance, volunteer work, and insurance costs.
19. 2027 Tournament Schedule and Conflict Disclosures
Scott will begin collecting 2027 tournament dates after the A-tier schedule is released in early November. He aims to present a master schedule for board approval in December so Parks Departments can receive the calendar before year-end.
Pete will file an addendum to his conflict-of-interest disclosure after joining another nonprofit disc golf board. Board members will add disclosures as new conflicts arise during their terms.
20. Adjournment
Greg Utz moved to adjourn. Jake Sumners seconded, and the motion carried.
No formal Zoom meeting will be held in November because the General Assembly fulfills that requirement. The next Zoom meeting is December 14, 2026.
The meeting adjourned at approximately 7:23 PM.
